What will you do in this role?
In this role, you will be responsible for the most important factor in the success of any new technology – people and processes. Your task will be to transform purchasing processes using AI and ensure that employees across VWG brands truly adopt and use these tools effectively.
You will be an “ambassador and architect of change”.
Analysis and transformation of purchasing processes
- Identify AI opportunities: You will analyze the entire purchasing process in detail, from order to payment, known as Purchase-to-Pay or P2P. You will identify bottlenecks, routine tasks and inefficiencies that could be solved with AI.
- Measure benefits: Your goal will be to deploy AI where it delivers clear and measurable improvements, such as faster approvals or automatic invoice matching.
Adoption and change management
- Teach people how to work with AI: Developing a great AI tool is only half the success – the other half is ensuring that people actually use it. You will design and manage adoption programs for different rollout phases of new tools.
- Remove barriers: You will identify why people in the purchasing teams of the brands, such as Audi, Porsche or Seat, may have concerns about AI tools or refuse to use them, and together with local teams you will look for ways to make working with AI easier for them.
Setting standards and governance
- Define the rules of the game: You will define process standards and governance for AI-supported purchasing processes.
- Maintain documentation: You will ensure that these new procedures are properly documented, easy to understand and continuously kept up to date.
- Workshops, pilot projects and travel
- Educate and share best practices: You will organize and facilitate workshops and pilot programs where you will demonstrate the practical benefits of AI to purchasers and share successful examples from other brands.
- Be at the center of the action: Personal contact is key in this role. You will regularly travel to VWG brand locations to stay close to the teams and effectively manage change directly on site.
What do you need to know, have and be able to do?
For this position, you need to be both an excellent process analyst and a diplomat. Your role is not to program AI, but to be able to present it and integrate it into everyday work.
Professional knowledge
- Detailed knowledge of the P2P process (Purchase-to-Pay): You must have a thorough understanding of the entire purchasing cycle – from the creation of a request through order approval and goods receipt to invoice processing and payment – and know where errors and delays arise.
- Change management methodologies: You must understand the principles of how people respond to change and how to guide them through it successfully, such as ADKAR or Kotter’s model, and be able to build a communication and training plan.
- AI use cases in purchasing: You should have an overview of the AI technologies commonly used in purchasing, such as invoice data extraction, payment matching, predictive price analysis and support chatbots.
- Process optimization: Knowledge of process improvement methodologies, such as Lean or Six Sigma, and process standardization in large organizations.
Practical skills
- Workshop facilitation and moderation: You must be able to lead interactive workshops, keep the group engaged, stimulate discussion and guide participants toward a clear outcome.
- Barrier analysis and empathetic listening: You must be able to identify why people reject a new system, such as fear of job loss, complicated controls or lack of information, and propose solutions.
- Creation of training and adoption materials: Ability to create clear instructions, video manuals, presentations and quick-start guides that make users’ first steps with AI easier.
- Measuring success (KPIs): Ability to define and monitor adoption metrics, such as the share of active users or reduction in task processing time thanks to AI.
Languages and IT tools
- English at C1 level (fluent spoken and written): You will communicate daily with purchasing teams across the entire VWG Group.
- German (a very strong advantage): The German brands, such as VW, Audi and Porsche, form the core of the Group, so German will significantly help you build trust with local teams.
Process mapping and analysis tools:
- Knowledge of process modeling tools, such as MS Visio, ARIS or Miro.
- Experience with Process Mining tools, such as Celonis, is an advantage, as they are used within VWG to analyze the actual flow of processes.
- Advanced MS PowerPoint and Excel skills.
Personal attributes
- Excellent communication and persuasion skills: You must be able to inspire people about a new technology and clearly explain its benefits, including ""What’s in it for me"" for an ordinary purchaser.
- Patience and stress resilience: People naturally do not like change and often resist it – you will encounter resistance that you will need to overcome calmly and professionally.
- Cultural awareness: You will work with teams from different countries, such as Germany, Spain and the Czech Republic. You must be able to adapt your communication style to the relevant culture.
- High flexibility and enthusiasm for travel: Direct presence at the brands is key to success. You must be prepared for frequent business trips.
